Send via business partner to Sweet Cakes and Roses client:
Hey [Name],
Quick heads up on your email setup. We're recommending moving from Microsoft 365 over to Google Workspace. Same cost ($6/user/month, so $12/month for two accounts), but you'd be on Gmail instead of Outlook and it plays a lot nicer with everything else.
The good news is nothing gets lost in the switch. We can migrate all of your existing email over before we flip anything, so Joni and Rachel would have their full history right there in their new inboxes. Same addresses too — still @sweetcakesandroses.com.

Migration Sequence (Once Client Approves)
- Set up Google Workspace account for sweetcakesandroses.com
- Create accounts for joni@ and rachel@
- Run Google's Data Migration Service — connects to M365 via IMAP, pulls all email over (runs in background, 30–60 min for small mailboxes)
- Confirm everything copied correctly
- Flip MX records in GoDaddy DNS (via API — quick, already have access)
- Cancel GoDaddy M365 subscription
Important: MX records get flipped LAST, after migration is confirmed. Flipping early causes a split inbox (new mail goes to Google, old stuff still copying from M365).
Total effort: ~20–30 min of actual work spread across a day or two.
DNS Notes
- sweetcakesandroses.com DNS is on GoDaddy (not Cloudflare)
- GoDaddy API key is in logins.md — can update MX and SPF records programmatically
- Current MX: Microsoft 365 (*.mail.protection.outlook.com)
- New MX: Google Workspace (5 records provided by Google during setup)
- SPF record will also need updating from M365 to Google
