G&M Position on Transition

Core rule: We do not provide G&M-owned plugin licenses or user keys to sites where we are no longer the agency of record. MC / SecretPenguin will need to purchase or obtain their own.

What we will provide: - Access to anything MC owns directly (their hosting, their domain, their GA4, etc.) - WordPress admin user for SecretPenguin - Site backup - Confirmation of what plugins/services are in use vs no longer in use - Legacy contact identification

What we will not provide: - Our own plugin licenses / activation keys (Gravity Forms, Gravity Perks, Gravity Kit, Admin Columns Pro, Events Calendar, etc.) - API keys tied to G&M accounts (Imagify, Post SMTP if ours)

Plugin & license audit — blanket position:

All premium plugin licenses currently on the site are held under G&M's accounts. G&M will leave them active for 30 days from the transition date to give MC / SecretPenguin time to handle renewals on their own. After that window, MC is responsible for purchasing and maintaining any licenses they want to keep.

G&M does not continue to pay for licenses on sites we no longer manage or are not the active agency of record for. This applies uniformly across every item in Section 3 (Plugin & License Audit) and Section 4 (API Keys & Integrations):

Rather than go plugin-by-plugin, the email will state the blanket policy once and list the plugins so MC has a clean inventory to work from.

Legacy contact (post-handoff): - G&M point of contact: Eric Downs (technical). Any residual questions go through Eric. Millwork Commons IT contact is on their end to identify.

Known items no longer in use: - Zapier — confirmed by Eric - WP All Import — dormant. Was used to auto-import tenant directory entries via Google Sheets; MC decided to abandon that workflow and now enters tenants manually through the website UI.

Items that don't belong on this list: - Coneflower Pie / Cake Orders sheets — these are for Coneflower Creamery (a separate website), not Millwork Commons. SecretPenguin should take those up with whoever manages Coneflower. - Directory V2 sheet — was the original seed for the tenant directory import. That functionality was vacated at MC's request; the sheet is dormant and the site no longer pulls from it. Tenants are entered manually in WP admin.

Ben Wellman (PGSA) announced on 2026-04-20 that Millwork Commons is moving WordPress maintenance to SecretPenguin. Derek Pressnall (SecretPenguin) followed up 2026-04-22 with a transition spreadsheet requesting account access and plugin ownership info.

Walked through all 5 sections of their checklist with Eric. Key positions:

Reply drafted and pushed to Gmail thread 19dabf9295d11450 as a reply-all to Derek (cc Ben, Kristin, Brooke, Alison). Draft also saved to ~/Desktop/millwork-commons-transition-reply.md. Eric edited the GSC follow-up out of the draft before sending — SecretPenguin can sort that on their own.

Status: Offboarding complete on our side. 30-day license window is the only remaining clock; after that, MC is on their own for renewals.
